Administrative Opportunities
Position Summary:
The Office Manager will oversee the day-to-day financial and administrative operations of the church and school. This position is responsible for ensuring accuracy in financial processes, managing on-site financial needs, and serving as a key liaison between staff, leadership, and the outside accounting firm (Balance Financial). The ideal candidate will bring strong financial administration experience, high attention to detail, and the ability to work collaboratively in a faith-based, team-oriented environment.
Key Responsibilities:
Financial Administration

Manage accounts payable process: collect invoices, route for approval, and ensure timely payment.

Maintain documentation for reimbursements (collect and organize receipts and approvals).

Enter bank deposits (including tithes, offerings, tuition, and other income) into QuickBooks Online.

Record and balance cashier’s drawer activity and petty cash.

Record bank account interest and similar routine transactions.

Monitor cash flow and initiate internal bank transfers as necessary.

Provide supporting documentation (receipts, invoices, deposits, etc.) to Balance Financial for coding and reconciliation.

Assist with reporting needs of church/school leadership by coordinating with Balance Financial.
Collaboration with Outside Accountant (Balance Financial)

Ensure timely submission of payroll hours for bi-monthly processing.

Provide clear documentation for expenses, income, and reimbursements.

Respond promptly to requests for information to support monthly reconciliations and reporting.

Maintain effective separation of duties by handling on-site financial operations, while Balance Financial manages bookkeeping, payroll, and reporting.
Administrative & Team Support

Serve as the financial point of contact for staff questions and needs related to reimbursements, bills, and deposits.

Maintain organized digital and paper records for audits and reporting.

Support communication between staff, leadership, and Balance Financial to ensure smooth financial operations.

Uphold confidentiality and integrity in handling sensitive financial information.
Qualifications:

Minimum 3–5 years of experience in financial administration, accounting support, or business office management.

Proficiency in QuickBooks Online (required) and general accounting procedures.

Experience with church/school administration, nonprofit accounting, or donation/tithes management preferred.

Strong organizational skills with the ability to manage multiple tasks and deadlines.

High attention to detail and commitment to accuracy.

Demonstrated ability to work effectively with staff, leadership, and external professionals.

Excellent interpersonal and communication skills, with a collaborative and service-oriented approach.
